Storage and Deletion of Receipt Images
When you upload a receipt image to GoPayDutch, we temporarily store it on our servers to facilitate processing and expense tracking. Our policy for retaining these images varies based on the type of receipt and its processing status:
- Quick Receipts: Images associated with Quick Receipts are designed for temporary use. They are automatically deleted from our servers immediately if the OCR processing fails, or once all participants have confirmed their claims for that receipt. If a Quick Receipt is manually deleted by its creator, the associated image is also permanently removed.
- Standard Account Receipts: Images uploaded for standard account receipts are used for OCR processing and are deleted from our servers immediately after the receipt is successfully created and saved to the database.
- General Cleanup: An automated system runs periodically to identify and delete any image files that are older than 24 hours and are no longer linked to any active receipt record in our database. This ensures that no unreferenced or outdated image data persists on our servers.
